As part of my conference or meeting preparation, I always make sure I speak to as many people before the start of an event.
I would have already spoken to the AV crew, event management team and other technical staff but what of the others?
It’s important to connect to other speakers and presenters early on the day of the event, or if possible the night before. If I can, and if logistics and time allows, its always a good idea to chat and listen to the expectations of audience members.
By catching up with speakers in the Green Room, you can cover several items:
1. Reassure them that their “performance” will be fine.
2. Check that they have everything ready for the stage. (Clicker for Powerpoint, Glass of water)
3. Insist that they stick to time.
and finally…
…speak to them post-event about their experience. Be tactful, never give feedback (unless you’ve been coaching them), just be friendly and warm. They may be in a position to recommend you in the future!
